Position Summary:
DJM Community Outreach is seeking a highly organized and reliable Administrative Clerk to provide essential support in day-to-day operations. The ideal candidate will be detail-oriented, proactive, and committed to supporting the organization’s mission of empowering youth and families through community-driven programs. This position plays a vital role in ensuring smooth office operations, accurate recordkeeping, and effective communication across departments.

Key Responsibilities:

  • Perform general clerical duties including data entry, filing, photocopying, scanning, and document preparation.

  • Answer and route incoming phone calls; greet and assist visitors with professionalism and courtesy.

  • Maintain and update both physical and digital files, ensuring confidentiality and organization.

  • Assist with scheduling meetings, appointments, and program-related events.

  • Prepare reports, correspondence, and other documents as directed by program staff or leadership.

  • Monitor and maintain office supply inventory; place orders when necessary.

  • Support the coordination of program logistics including participant records, sign-in sheets, and attendance logs.

  • Help track invoices, receipts, and other financial paperwork in collaboration with the finance team.

  • Provide administrative support to program staff, including printing materials, updating databases, and organizing internal communication.

  • Assist with outreach efforts and special projects as needed.

Qualifications:

  • High school diploma or GED required; associate degree or relevant coursework preferred.

  • Prior experience in an administrative or office support role (nonprofit or community organization experience is a plus).

  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and comfort with basic office technology.

  • Excellent organizational skills and attention to detail.

  • Strong written and verbal communication skills.

  • Ability to multitask and prioritize in a fast-paced environment.

  • Must pass a background check and maintain confidentiality of sensitive information.

Work Environment:

  • Office-based role with occasional support required at off-site events or community engagement activities.

  • Standard hours with flexibility based on program needs (some evenings/weekends may be required).
